At 1on1session, your privacy is more than a legal requirement—it is a cornerstone of the therapeutic relationship. This notice describes how medical information about you or your child may be used and disclosed and how you can get access to this information.
Whether we are treating a child, a teenager, or an adult family member, we are committed to maintaining the highest standards of data security and clinical confidentiality.
1. Our Legal Duty
We are required by federal law (HIPAA) and the Texas Medical Privacy Act (HB 300) to maintain the privacy of your Protected Health Information (PHI). We are also required to provide you with this notice and to abide by its terms.
2. Information We Collect
We collect information necessary to provide high-quality psychiatric care, including:

Identifiable Information: Names, dates of birth, addresses, and contact details.

Clinical Records: Psychiatric evaluations, treatment plans, progress notes, and medication history.

Electronic Data: Information provided via our website intake forms and secure patient portal.
3. How We Use & Disclose Your Information
We use your PHI for Treatment, Payment, and Healthcare Operations (TPO):

Treatment: To provide, coordinate, and manage your or your child’s healthcare. This may include consulting with other clinicians or pharmacies.

Payment: To bill and collect payment from you or your insurance company.

Operations: For internal activities such as quality assessment, state licensing, and general business management.
NOTICE (Texas HB 300): Pursuant to Texas Health & Safety Code § 181.154, please be aware that your PHI may be subject to electronic disclosure. We utilize only HIPAA-compliant, encrypted platforms to ensure these disclosures are secure.
4. Insurance & Financial Policies

Accepted Insurance: We are currently In-Network with BlueCross BlueShield (BCBS), Aetna, and Anthem. It is the patient’s responsibility to verify specific coverage details prior to the appointment.

Out-of-Network: For all other carriers, we are “Out-of-Network.” We provide superbills to patients and families to submit for potential reimbursement.

Medicaid Restriction: Kiddo Psychiatry cannot accept Medicaid patients, even as cash-paying clients or those with secondary private insurance. This is due to strict Texas Medicaid regulations for private-pay and commercial clinics. By seeking treatment, you attest that the patient is not a Medicaid beneficiary.

Cancellations: We require 72 hours’ notice for all cancellations or rescheduling. Late cancellations will result in a full session fee.
5. Emergency & Crisis Protocols
Kiddo Psychiatry does not provide 24/7 crisis or emergency services. If you or your child are experiencing a psychiatric or medical emergency, please call 911 or 988 (National Suicide & Crisis Lifeline) immediately.

6. Your Rights
Under HIPAA and Texas law, patients (and guardians of minors) have the right to:

Inspect and Copy: Request a copy of your medical and billing records.

Request Amendment: Ask us to correct info that you feel is inaccurate.

Accounting of Disclosures: Receive a list of instances where we have shared your PHI for reasons other than TPO.

Restriction Requests: Request that we limit how we use or disclose your info (though we are not required to agree if it affects your care).
7. Data Security
We implement administrative, physical, and technical safeguards—including enterprise-grade encryption—to protect your family’s data. While no digital system is 100% impenetrable, we prioritize the use of “Privacy by Design” in all our digital workflows.
8. Complaints & Contact Information
If you believe your privacy rights have been violated, you may file a complaint with us or the Secretary of the U.S. Department of Health and Human Services. We will not retaliate against you for filing a complaint.
